01Who we are

This policy covers the AutoPro operations platform: the tool AutoPro Nashville ("AutoPro", "we") uses to run its lot, from vehicle records and the Key station to inspections, receiving, releases and the sales floor.

Paddock20 builds and maintains the platform for AutoPro, and handles information in it only to do that work.

02What we keep, and why

Every action on a car carries a name, so the record can always answer who did what, and when. That is most of what the platform keeps.

  • People who work here: your name and role as they appear on the roster, on every record you sign (key checkouts and check-ins, inspections, receipts, releases and overrides), and the settings you choose.
  • Cars on loan: for an executive demo or a sponsor vehicle, who took it, the day it is due back and, for a sponsor vehicle, the sponsor’s name.
  • Vehicles: VINs, stock numbers, photographs, inspection results, key tags, and the paperwork photographed at drop-off and release. A full VIN is held only to match records, and it is shown masked.
  • Drivers and carriers at the gate: the driver’s name, company and destination, a signature, and from a driver license only the last four digits and the expiry month and year. The license barcode is read on the device, and the full license number is not kept.
  • Customers: names, phone numbers, email addresses, the vehicle they asked about, and any hold or sale the sales floor records.
  • Sales activity: the calls, emails and review requests the sales tool logs for each rep, the quiet time worked out from them, the deals each rep closed, and the nightly report each rep sends: sales, customers connected, cars that need bids and any notes. The night’s reports are emailed together to Hans and the sales managers.
  • Your device: your profile and settings in one cookie on your browser (ap_test_profile), and small things in your browser’s own storage: a copy of your settings, your garage layout, your weather places, the setup steps you ticked, and for five minutes the Key station you last read. If you turn phone alerts on, your phone’s notification address, the name it belongs to and a label for the device.
  • Profile photos: if you add one, it is cropped on your device and saved as a small square picture in private storage, and it shows beside your name in the app. You can remove it at any time.
  • Visits: Vercel Web Analytics counts page views, without setting cookies.

03The camera and photographs

The camera opens only when you open a scanner or take a photograph. Barcodes, including a VIN label, a key tag and a license, are read on your device.

A photograph you take is filed on that vehicle’s record. When your device cannot read a VIN from a photograph, that one photograph may be sent to Google Cloud Vision to read the characters.

A profile photo is opened and cropped on your device, including a HEIC or a PDF, and only the cropped square is sent.

04Who it is shared with

Only the services the platform needs to work, and only what each one needs:

  • Vercel hosts the platform, stores photographs, signatures and paperwork in private storage, and provides the page-view counts above.
  • Google Cloud Vision reads a VIN from a photograph when the device could not.
  • NHTSA’s vPIC service decodes a VIN into the year, make and model. Only the VIN is sent.
  • The National Weather Service and EPA AirNow provide weather and air quality for the lot and for places you add. Only map coordinates are sent.
  • Resend delivers the platform’s operational emails, such as release notices and the list of keys still out at close.
  • Apple, Google and Mozilla deliver alerts to phones that turned alerts on.

We do not sell personal information, and we do not share it for advertising.

05How long we keep it

As long as AutoPro needs it to run the business, keep each vehicle’s history, and meet its legal and record-keeping obligations. Vehicle records are permanent by design: a release is a status on the record, not a deletion.

06How it is protected

  • Every connection to the platform is encrypted.
  • Photographs, signatures and paperwork sit in private storage and are served through the platform, not from public links.
  • Keys and secrets stay on the server and are never sent to a browser.
  • VINs are masked on screen and in email, and license numbers are never stored in full.

07Your choices

You can clear the settings and preferences kept in your browser at any time, and turn phone alerts off in Settings.

Anyone whose information is in the platform can ask AutoPro what is held about them and ask for a correction, subject to the records AutoPro must keep.

08Children

The platform is a workplace tool. It is not meant for children, and we do not knowingly collect information from them.

09Changes to this policy

When this policy changes, the effective date at the top changes with it.
